gSync User Guide

Complete reference for managing Google Workspace accounts, provisioning users, syncing classrooms, and deploying email signatures — all from one dashboard.

Overview

gSync is a Google Workspace management platform designed for K–12 schools. It connects directly to your school's Google Admin Console to streamline account provisioning, classroom management, email administration, and more — all from a single, secure web interface.

Some features may not be available depending on your school's subscription plan. Locked features display a 🔒 badge and cannot be expanded.

Signing In

Google Sign-In

gSync uses your school's Google account for authentication

gSync uses Google OAuth to authenticate users. Only accounts authorized by your gSync administrator can sign in.

Navigate to your school's gSync URLYour URL follows the format: https://app.gsync.io/yourschool/
Click "Sign in with Google"You will be redirected to Google's authentication page.
Select your school Google accountUse your school-issued Google account, not a personal Gmail account.
Grant permissionsOn first sign-in, you will be asked to grant gSync access to your Google Workspace. Click "Allow".
Important
If you see an "Not authorized" error, contact your gSync administrator to add your account to the authorized users list in Settings.

Session Timeout

For security, gSync automatically signs you out after 20 minutes of inactivity. A warning banner appears at 18 minutes. Click "Stay Signed In" to extend your session.

Dashboard

The dashboard is your central hub. All features are organized into collapsible sections. Click any section header to expand or collapse it.

Navigation

  • Each feature is a collapsible card — click the header to expand
  • Sections with a 🔒 badge are not available on your current plan
  • Your name and sign-out button appear in the top navigation bar
  • A daily message may appear as a modal on login — click to dismiss

Daily Messages

Your administrator may configure a daily message that appears when you first log in each day. Check the "Don't show again today" checkbox to suppress it for the rest of the day.

Account Sync

Account Sync

Import and manage accounts from Google Sheets

Account Sync reads student and staff data from a Google Sheet and syncs it into gSync's database. This is the first step before provisioning accounts.

Setting Up Your Spreadsheet

Your spreadsheet must have a tab named Demographics with the following columns:

Tip
Use the Generate Template button in Settings → Spreadsheet Connector to automatically create a Google Sheet with all required tabs and column headers pre-configured.

Running a Sync

Paste your Google Sheet URL or IDOpen your spreadsheet in Google Sheets and copy the URL from your browser's address bar.
Click "Sync from Sheet"gSync will read the Demographics tab and compare it to existing records.
Review the sync summaryA summary shows new, updated, removed, and skipped records.
Review the Student RosterNewly imported accounts appear in the roster with status "Not provisioned".

Sync Behavior

  • New rows — creates a new record in gSync
  • Changed rows — updates the existing record
  • Removed rows — marks the record as "removed" (does not delete from Google)
  • Unchanged rows — skipped (no action taken)

Student Roster

The Student Roster shows all imported accounts with their provisioning status, role, grade, and parent information. You can search, filter, and bulk-delete records from this view.

Provisioning

Create Google Workspace accounts from imported data

Provisioning creates actual Google Workspace accounts for users imported via Account Sync. gSync reads the data from its database and calls the Google Admin API to create each account.

Before You Provision

  • Ensure the Account Sync has been run and the Student Roster is populated
  • Verify org unit paths are correct — accounts will be created in the specified OU
  • Confirm default password settings in Settings → Provisioning

Provisioning Users

Open the Student RosterIn the Account Sync section, expand the Student Roster panel.
Select users to provisionCheck individual users or use "Select All" to select all unprovisioned accounts.
Click "Provision Selected"A confirmation dialog shows the number of accounts to be created.
Review resultsEach account shows a status: Provisioned, Skipped (already exists), or Error.

Provisioning Status

Welcome Emails

If a user has "Send Welcome Email" set to Yes and parent email addresses are present, gSync can send a welcome email to parents with the student's login credentials. Configure email templates and Mailgun settings in the Settings section.

Deprovisioning Accounts

Deprovision Accounts

Suspend or delete Google Workspace accounts

The Deprovision tool allows you to suspend or permanently delete Google Workspace accounts. It also automatically removes users from all Google Groups before taking action.

Warning
Deletion is permanent and cannot be undone. Use Suspend for accounts you may need to reactivate. Deleted accounts and their data cannot be recovered after 20 days.

Deprovisioning via Search

Search for usersType a name or email in the search box to find users in your Google Workspace directory.
Select usersCheck the users you want to deprovision. Multiple users can be selected.
Choose actionSelect "Suspend" or "Delete" from the action dropdown.
Optionally set a target OUSuspended accounts can be moved to a different OU (e.g. /Alumni or /Former Staff).
Click "Run Deprovision"A confirmation dialog shows the accounts and action. Confirm to proceed.

Deprovisioning via Spreadsheet

You can deprovision multiple users at once using the Deprovision tab in your Google Sheet. Add a tab named Deprovision with two columns:

Click "Load from Sheet" in the Deprovision section to import the list, then run the deprovision.

What Happens During Deprovision

  1. User is removed from all Google Groups
  2. Account is suspended or deleted in Google Admin
  3. If a target OU is specified, the account is moved (suspend only)
  4. The gSync student record is updated with the deprovision status

Classroom Sync

Create courses and sync rosters to Google Classroom

Classroom Sync reads course data from your Google Sheet and creates courses in Google Classroom, enrolling students automatically.

Setting Up Your Courses Sheet

Add a tab named Courses to your spreadsheet with these columns:

Syncing Courses

Run Account Sync firstEnsure your spreadsheet has been synced so course data is imported.
Select courses to syncIn the Classroom Sync section, select the courses you want to create or update.
Click "Sync to Classroom"gSync will create new courses and enroll students in Google Classroom.
Review resultsEach course shows the number of students enrolled and any errors.

Archiving Courses

Set Archive to "Yes" in the spreadsheet to mark a course for archiving. On the next sync, gSync will unenroll all students and set the course to ARCHIVED in Google Classroom. You can also manually archive courses from the Classroom Sync section.

Tip
After syncing, the Google Course ID column is automatically written back to your spreadsheet so you have a permanent record of each course's ID.

Group Management

Group Management

Manage Google Workspace group memberships

Group Management lets you view, create, and manage Google Workspace groups and their memberships directly from gSync.

Viewing Groups

The Group Management section lists all groups in your Google Workspace domain. Click any group to view its members.

Managing Members

  • Add member — Enter an email address and click Add
  • Remove member — Click the remove button next to any member
  • Bulk sync — Add or remove multiple members at once using the bulk sync option

Creating a New Group

Click "Create Group"Found at the top of the Group Management section.

Gmail Admin

Gmail Admin

Create and deploy auto-replies and forwarding rules for users

Gmail Admin allows you to set out-of-office auto-replies and email forwarding for one or more users in your domain — without needing access to each user's individual Gmail settings.

Selecting Users

Both the Out of Office and Email Forwarding tabs share the same user selector. Search for users by name or email, then click to add them as chips. Multiple users can be selected at once — the same settings will be applied to all selected users.

Out of Office (Vacation Responder)

Select the "Out of Office" tabAt the top of the Gmail Admin section.
Search for and select usersUse the search box to find users. Click to add them.
Compose the auto-reply messageUse the rich text editor to format your message. Merge tags are available to personalize the message per user.
Set start date (required) and end date (optional)The auto-reply activates on the start date. If no end date is set, it stays active until manually disabled.
Click "Preview & Apply"A confirmation modal shows each user and their resolved message. Click Confirm to apply.

Insert these tags in your message to personalize per user:

Email Forwarding

Select the "Email Forwarding" tabAt the top of the Gmail Admin section.
Select usersUse the search box to find and select users.
Enter the forwarding addressType the email address all incoming mail should be forwarded to.
Choose copy behaviorCheck "Keep a copy in the user's mailbox" to retain a copy, or leave unchecked to forward only.
Click "Preview & Apply"Review the confirmation modal and click Confirm.
Note
Gmail Admin uses your school's service account with domain-wide delegation. No individual user passwords or consent is required.

Signature Manager

Create and deploy HTML email signatures to users and OUs

Signature Manager lets you create branded HTML email signatures and deploy them to users or entire organizational units in your Google Workspace domain.

Creating a Signature Template

Click "New Template"In the Signature Manager section.
Enter a template nameUse a descriptive name like "Staff Default" or "Admin Signature".
Design your signatureUse the rich text editor to format the signature. You can add text, images, links, colors, and merge tags.
Insert merge tagsClick any merge tag button to insert a personalization placeholder.
Save the templateClick "Save Template". Up to 10 templates can be saved.

Assigning Templates

Assignments control which template is deployed to which users. Two assignment types are supported:

Priority
User-level assignments take priority over OU-level assignments. If a user has both, the user assignment is used.

Deploying Signatures

Click "Preview Signatures"Select a user or OU to preview how signatures will look with real user data.
Review the preview listEach user shows their assigned template and a preview of the resolved signature.
Click "Apply Signatures"A confirmation modal shows all users. Confirm to deploy.

Settings

Settings is accessible from the main dashboard. It contains configuration for your school's gSync environment.

General Settings

Authorized Users

The Authorized Users list controls who can sign in to gSync. Add email addresses of IT administrators who should have access. Leave empty to allow all users in your domain to sign in.

Email Settings (Mailgun)

gSync uses Mailgun to send welcome emails to parents. Configure the following:

Click "Send Test Email" to verify your Mailgun configuration before sending to parents.

Spreadsheet Connector

Enter your Google Sheet ID or URL here. Use "Generate Template" to create a new Google Sheet with all required tabs and columns pre-built.

Daily Messages

Configure a message that appears to all administrators when they log in each day. Useful for communicating important reminders. Messages can be set per day of the week.
